Website Privacy Notice

What this notice covers

This notice covers the Mosaic marketing website and its sample demonstrations, appearance preferences, optional Flow Map responses and enquiry form. It does not describe processing by a released school product. School accounts, pupil records, uploads and real school connections are not offered by this preview.

Fictional demonstrations

The self-evaluation demonstration uses a fictional school and sample evidence. Edits stay in the browser session and are not submitted as school records. Reset or reload restores the sample. The PDF is generated in your browser when you export it.

Use fictional information only. Please do not enter student information, school records or other sensitive personal data.

Browser preferences and Flow Map responses

Day/Night and motion preferences stay in the current browser tab session by default. You can separately choose to remember them on this device; that choice can be turned off on the Cookies & preferences page.

Flow Map interest is optional and does not ask for an account or email. A first-party cookie holds a random browser identifier. The response service stores a hashed form of that identifier with the selected area, current choice and update information. It recognises a browser, not a verified person or school. Only authorised founders can view the aggregate results; totals are not public.

The identifier cookie is issued when a Flow Map interest control requests response state, rather than from general website configuration or contact requests. It is configured to last up to one year. You can change or clear a choice on the Flow Map. Clearing removes the active choice from totals; it does not delete the stored update record or the browser cookie. Cookie expiry does not establish how long response records are retained.

Enquiries and contact options

The form asks for your name, reply email and message, plus a request identifier to handle retries. These details are used to handle the enquiry. In local review, the form writes to a private local test inbox and sends no message to the team.

For enquiries, email inquiries@mosaicoperations.co.uk. The intended arrangement is for enquiries to reach both founders, who can manage the mailbox. Mailbox delivery, forwarding and the website form’s delivery route still require operational verification; no response time is promised. Check the contact page for conversation and booking options. Submitting an enquiry does not book a meeting.

Demo interaction information

Optional analytics is off unless you actively accept it on the Cookies & preferences page. If enabled, the demos can send selected interaction events to PostHog, such as a step or action, with a demo identifier and sample version. The application does not include demo text, enquiry contents, school records or Flow Map choices in those events.

Automatic interaction capture, page-view capture and session recording are disabled. Analytics capture is also turned off on the Contact, Flow Map, founder-report and embedded-preview routes. Optional analytics can be rejected or withdrawn at any time. The configured PostHog provider settings and retention still need verification. Hosting and delivery services may also process ordinary request information; their production providers, transfers and deletion settings still require confirmation.

Retention and questions

Our agreed retention targets for public activation are:

  • Ordinary enquiries that do not become an ongoing school relationship: six months after the last meaningful exchange, then deletion of the name, reply email and message. Any later contract records require a separate schedule.
  • Browser-linked Flow Map responses: twelve months after the last update, then deletion of the linked response record.
  • Routine website diagnostic logs and any enabled demo analytics: thirty days, subject to verification of the hosting and analytics providers' settings.

These are agreed targets, not verified deletion schedules. The deletion processes and provider settings have not yet been implemented and verified for public activation. The local test inbox and response records do not have an automatic deletion schedule. No automatic erasure or irreversible anonymisation is promised by this notice.

Saeed is responsible for verifying deletion across the dedicated mailbox, forwarded founder copies and provider backups. Both founders apply the six-month enquiry target to copies they manage. Mailbox delivery, forwarding and deletion remain subject to verification. The legal identity of the responsible organisation, its formal contact details, applicable purposes and legal bases, recipients and transfer locations, and the route for privacy requests or complaints still require confirmation. The general enquiries address above does not establish those arrangements. Confirm them before public collection is activated. Future school-product arrangements require separate terms and evidence.
